Scanning to Convert Text on Paper to Electronic Text

Optical Character Recognition with
OmniPage Pro and the HP Precision Software

 

 
   

In order to use the following documentation, you need
ScanSoft OmniPage Pro 11.0
A flatbed scanner attached to your computer
A document sheet feeder is recommended but not necessary
 

Step one:

Arrange the documents you would like to scan in the automatic document feeder on top of the scanner face up (This setting might be different for different scanners).

Alternatively, you can scan each page individually using the scanner glass surface. Place the page face-down on the scanner glass surface.
 

Step two:

Open OmniPage Pro. Start > Programs > ScanSoft OmniPage Pro 11.0 > OmniPage Pro 11.0.


 

Step three:

Click on the OCR Wizard button. Click on the Wizard icon on the toolbar.


 

Step four:

In the new window that pops up, select Paper Document in my scanner.



 
Select For
Scan in Black and White Pages with Pictures you do not want to keep. Pages with sharp, dark text on white background.
Scan in Grayscale Pages with photos you want to see in grayscale. Faded, blotchy text or colored, shady backgrounds.
Scan in color Pages with pictures or text you want to keep in color.

   
Click Next.
 

Step five:

In the next window, select the option which describes how your document looks. If you are not sure, select Let OmniPage decide (auto).  Click Next.


 

Step six:

Select the language your document contains. The default language is English.


 
 Step Seven: Select "More Accurate" for the OCR Method.

Click Next.
 
   Step Eight:

Select how much of the original document's formatting you wish to retain.

In most cases, you should select "None, I only want plain text".  This option returns just the text portion of the document with no formatting.

Click Next.


 

   Step Nine:

Proofreading:  By checking Yes, after the scanning is complete, OmniPage will present the text that it does not understand and give you the opportunity to correct it before saving it.

Intellitrain:  You should normally check Yes for this option.  As you make corrections to the Proof-read document, OmniPage will remember your corrections and apply them to any similar text that it encounters.

Click Next.

 

    Export document: The best practice is to save the scanned text directly to Microsoft Word.  OmniPage will create a Microsoft Word document with the scanned text saved into it.

Click Finish.


Depending on how many pages you have and the options you selected, this step might take a few minutes.
 
    If you are using a sheet feeder attached to your scanner, you can scan double-sided sheets using the following method.

First, place all of the odd-numbered sheets face-up in the document feeder and scan them. 

When the scanning of the odd pages is complete, a window will appear on your screen prompting you to place all of the even-numbered sheets face-up in the document feeder to scan them.  You have the option to scan the sheets in ascending or descending order.

If you are not scanning double-sided sheets, you can ignore the window shown below and click Cancel, otherwise click OK.


 

    If you selected proofreading, the proofreader window pops up after the first page is scanned. It is recommended not to start proofreading until all the pages have been scanned first.

Once all the documents have been scanned, hit Resume on the proofreader window.

 
 
    The proofreader works like the Spell Checker in a word processing program. It gives you options for what it thinks the word is, and asks you for what the original word was supposed to be. Select the correct option or input your own corrections or hit Ignore if the word is correct in its present form.
 
    After you are done proofreading the whole document, a window pops up telling you that the OCR proofreading is complete. Hit OK.


 
    After the proofreading is done, a window appears on the screen asking you to save the file.
Be sure to save it as a Word Document (*.doc)
Check the box next to Save and Launch if you want Microsoft Word to open up the document automatically after you save it.

Enter a File Name in the File Name box. Click OK.
